Daily Notes

Notes for your Clients can be filled out under the Note Entry menu. Your Schedule for Clients you have will be shown for the month. You can change the view to Week or Day view by clicking either Week or Day in the top right of the Schedule.

You can start a Daily Note by clicking the appointment. A strikethrough mark through the Client name means the Note has been submitted and pending approval, or is already approved. An appointment shown in red indicates the appointment has a Certification Violation; you’ll need to contact your supervisor to address a requirements violation.

Expense Entry

Expense entry can be found under the Note Entry menu. You can submit either Mileage, or a traditional Expense. Mileage may require a Client associated with the entry in order to submit, this constraint is your company’s preference.

Time Entry

Time entries can be found under the Note Entry menu. Time entries are helpful for indicating time used for tasks such as Trainings, Meetings, Vacation, Sick time, Holiday, or PTO. Your company will give you guidelines for submission of Time entries.

Where are my notes?

Once a Note is submitted, you must wait for a manager to approve it, or send it back to you for resubmission. Your Notes will have a strikethrough on them on the Schedule or the Daily Note page if they are pending approval or have already been approved. No further action is required on these Notes.

Already submitted a Note and want to see if it’s approved? Clicking Note Processing on the menu will show you Notes that are still pending approval. From here, clicking the magnifying glass icon will show you your Note in full. This page also lets you see pending Time Entries and pending Expense entries.

Once a Note has been approved, you can view your approved Notes in their entirety by visiting the Note Report page under the Reports menu.

To view time that you’ve worked, and time that has been approved, you can view this information under Time Report nested under the Reports menu.

To view Expenses that have been approved, you can find these under Expense Report under the Reports menu.

Scheduling

You can Schedule an appointment by selecting a Client from the dropdown. Services and hours available, as well as hours scheduled will appear above the Schedule. From here, you can double click a day which will start creating an Appointment.

If you’re using a mobile device, click the Add Appointment button underneath the Schedule. The Add Appointment button starts creating a brand new Appointment, and shouldn’t be used when saving an Appointment.

When creating an Appointment, you can change the Date, Start, and End times, as well as designate the Service for the Appointment. Your name and the Client should already be selected. You may be able to change the Staff person for the appointment if your company has given you extra responsibilities for Scheduling.
